Choosing the right venue (“Budget“ Versus “Premium”)

Planning a formal can be an exciting but challenging task. Don’t worry – we’re here to guide you through the process. One of the first, and most important, decisions is choosing the right venue. It sets the stage for your formal. Let’s explore the key factors to consider!

Think of your venue selection as pushing a cart with four wheels. To keep your formal plans on track, you need these four sturdy wheels:

1/ Geography – 2/ Availability – 3/ Capacity – 4/ Economy

Let’s break them down:

1/ Geography (Where is the venue located?)

Consider the venue’s location. Is it easy for your guests to get to? Think about accessibility, public transport, nearby main roads for taxis, parking, and even places for after-formal fun. Safety is also important, given the outfits your guests will be wearing.

Availability (When can we book the venue?)

The dates the venue is available can make or break your plans. Conflicts with other events could affect the price and the venue’s exclusivity.

The most important timing factors are:

  • End of Term 3 (last week of September)
  • School holidays before Term 4 and the HSC (October)
  • End of HSC (usually week 2 of November)
  • Beginning of “Schoolies” (usually week 2 of December)
  • Beginning of Wedding Season (November, when the weather warms up)
  • Corporate Christmas party season (weeks 1 to 3 of December)
  • The day of the week

All these factors affect when venues are available and how much they cost.

There are really only two good times to hold your formal to maximise ticket sales:

  • Window 1: The three weeks between the end of exams and the start of Schoolies (Week 2 of November to Week 1 of December)
  • Window 2: One week at the end of Term 3 (Week 4 of September, before school holidays start)

Why only these two slots? Which is best, and what challenges do we face?

October is difficult because students will be studying for the HSC. The first three weeks of the September school term are still active school time.

You can’t have the formal during the HSC. By week 2 of December, many students will be on holiday with family or starting a gap year. So that leaves the three-week window in November/December. The challenge during this time is that it’s also wedding season and the start of corporate Christmas parties. Both weddings and corporate parties have bigger budgets than formals, so venues may prioritise them or charge you more.

The next thing to consider is the day of the week. The best answer might not be what you expect.

We often think of events happening on Saturday night because of work, school, or family commitments during the week.

But when you’re planning a formal, the school year is over. As far as you’re concerned, any night is Saturday night, so you can hold your formal on any day.

Since you’re competing with markets that want weekend dates, it makes sense that 75% of formals happen Monday to Thursday. That’s when more venues are available at lower prices, with lower minimums. You’ll also find that other services, like hair, makeup, and limousines, are more available and cheaper during the week.

Once you realise a weeknight works just as well, you’ll find many more venue options available at better prices.

3/ Capacity (Will the venue fit your needs?)

Your venue’s capacity matters. There are two important numbers:

  • The “Pax Minimum”: the minimum number of guests at a certain price per person that makes the event profitable for the venue.
  • The “Pax Maximum”: the physical capacity, considering tables, seating, staff access, dance floor size, stages, etc., to ensure everyone is comfortable.

It’s crucial to find the right fit.

Having fewer guests than the minimum can lead to extra charges from the venue. Exceeding the maximum can result in cramped spaces and logistical problems. Both can ruin an event.

Finding the perfect capacity venue for your estimated guest count months in advance is a difficult task. A formal can cost anywhere from $15,000 to $50,000, so you need to decide whether you’d be willing to gamble on a “guess” with that much at stake.

Economy (Can you afford the venue?)

This can be tricky, but it can make a big difference. Economy isn’t just about the ticket price; it’s about what’s included in the package, making it a question of “value” rather than just “cost.”

In the formal market, venues generally fall into three categories:

A/ “Newbies”

These are venues new to formals that treat them like any other event, offering the same packages as they do for corporate events and weddings.

Be careful here. These venues may not understand the teenage market in terms of food and service. They might not have the necessary permits or follow state regulations, which could lead to your event being shut down.

B: “Budget Venues”

These are privately owned function centers eager for the formal market, offering appealing “all-inclusive packages” for under $100 per person in 3-star venues with 2-star food and service that seem great at first. While some are acceptable, watch out for hidden costs that add up quickly.

We’ve seen these venues take advantage of school committees with things like “security bonds” (which are often illegal and not returned) and hidden fees for cleaning, venue hire, GST, and day-of-week surcharges that increase your $100 ticket to $150 without you realising it.

C: “Brands”

These are venues with internationally recognised names, like major 4- and 5-star hotel chains (Hilton, Four Seasons, Hyatt, etc.), that know about luxury and service and follow all regulations because they can’t risk their brand reputation.

These venues are usually out of reach for school groups but are connected to reputable booking agencies or event management companies. They’re top-notch and might cost a bit more, but success is guaranteed.

Remember, don’t focus too much on the price tag. The difference between budget and upscale formals is often only a few dollars. Quality and experience are more important.
