Explaining Venue Relationships

Throughout our journey, we’ve seen many “copy-cat” companies try to imitate what they think makes Prom Night Events the national market leader. These companies often emerge and then quickly disappear.

Some assume that simply copying our packages is enough, but they don’t understand the careful balance we strike to keep prices affordable without sacrificing quality. Others believe that catchy names and flashy websites are all it takes, but they lack the industry knowledge to offer reliable and valuable information – which is what people truly want. The worst ones resort to cyber-bullying, misleading advertising, and unfair practices, hoping to discourage us from an industry we love. But we assure you, that won’t happen.

These imitators fail to understand – and probably never will – that a company’s strength comes from the quality of its people and the relationships between them. Whether it’s clients, suppliers, staff, contractors, coordinators, or agents, these connections are essential for any successful and lasting business. Like a well-oiled machine, the school formal industry relies on these human bonds to run smoothly and efficiently. Without them, everything stops, and no one benefits.

Of course, people only trust companies with a good reputation, that offer excellent products and services and deliver on their promises. One of Prom Night Events’ key strengths is our strong relationship with each venue in our programme.

Since our programme began in 1990, we’ve never actively recruited venues. Every venue currently participating has chosen to join us. Each one has gone through a process of building relationships, carefully negotiating terms, and completing a trial period before officially joining. Some venues have taken up to two years to complete this process, and some have remained with us since the beginning.

The school formal market is a complex niche. To succeed, you need expertise in logistics, legal compliance, risk assessment, marketing, sales, supply coordination, accounting, crowd management, occupational health and safety, and, most importantly, the ability to understand and work within teenage culture. Even major, well-known venues recognise they can’t handle it all alone. That’s where Prom Night Events comes in.

Major Venues face two key decisions when it comes to formals:

  1. Are we prepared to accept formal bookings at all?
  2. If so, do we have the resources to manage them ourselves?

Around 90% of these venues answer “Yes” to the first question and “No” to the second.

Prom Night Events is the only company that allows them to answer “Yes” to both. This is why, when given the choice of whom to accept school formal bookings from, these venues choose us exclusively. They turn down requests from other sources – including schools, committees, parents, and copy-cat agencies.

Maintaining a 100% success rate since we started is a testament to the strong relationships we’ve built with our venues, client schools, suppliers, and teams.
