How late is TOO late to book?

The question of when to make formal bookings and personal preparations is a common topic of discussion. To make things clearer, let’s divide these tasks into two categories:

The Formal Event

This includes everything everyone experiences together, such as the venue, entertainment, dinner, photography, and decorations.

Personal Touches

These are the individual elements that reflect your personal style, like your outfit, hair, shoes, and transportation.

It’s important to separate these categories because they need attention at different times.

Let’s start with the formal event. Securing the venue and date should be your first priority, followed by the package inclusions. This usually happens about 6-8 months before the formal. However, some people book everything 12-16 months in advance.

Venue booking typically happens in two stages: Stage 1 is from September to December for the following year. So, if you’re planning a formal in 2026, you can book your venue in the last quarter of 2025. Stage 2 is from February to April of the same year, offering a second chance. Booking early gives you the best chance of getting your preferred dates and venues.

If you don’t book by May, you risk missing out on the best venues or ending up with a less desirable option on an inconvenient date. Some venues might even increase prices or schedule your event between others if you book late. To avoid this, consider getting professional help if you’re booking after May. It’s a smart way to ensure you get a good deal.
